What's Included in Essential

Scheduling and Gantt Chart

Build project schedules with drag-and-drop tasks. Set dependencies, assign tasks to subs and employees, and share the schedule with the homeowner. The Gantt view is one of Buildertrend's strongest features - you can see all active projects on one screen and spot scheduling conflicts before they happen.

Daily Logs with Photos

Log daily work activity, weather conditions, crew attendance, and site photos from the mobile app. Photos are stored with unlimited storage - no file size limits for standard construction photos. Daily logs become a timestamped record that protects against disputes about what was done and when.

Customer Messaging Portal

All communication with the homeowner runs through Buildertrend's portal rather than personal email or text. This keeps a complete record of every conversation and prevents the 'I never said that' disputes that plague residential construction. Clients get a login to view their project timeline, documents, and messages.

Basic Budgeting

Track budget vs actual costs at the job level. Enter your budget line items manually and record expenses against them. Syncs with QuickBooks for financial reconciliation. Note: this is basic budgeting, not full estimating - you cannot create proposals or change orders from the Essential plan.

Document Management

Store contracts, plans, permits, and other project documents in the cloud. Accessible from any device. Set permissions so homeowners, subs, or employees can access specific documents. Eliminates the 'where is that document?' problem on busy sites.

QuickBooks and Xero Sync

Two-way sync with QuickBooks Online and Xero. Invoices, payments, and expenses sync automatically between Buildertrend and your accounting software. Eliminates manual double-entry. QuickBooks Desktop is also supported via one-way sync.

Sub Center Portal

Subcontractors and trade partners get free access to view schedules, access documents, receive and submit bids, upload lien waivers, and communicate with the GC. The sub does not need a paid account. This is a genuine competitive advantage - coordinating subs through a shared portal reduces phone calls and email chains significantly.

To-Do Lists and Tasks

Create task lists attached to specific projects, assign them to team members, and track completion. Sends push notifications and emails when tasks are assigned or overdue. Works on mobile for field staff who need to see their punch list each morning.

What's NOT Included in Essential

This is the critical information most searchers need. These features require upgrading to Advanced or Complete:

Missing FeatureWhy It MattersRequired Plan
Estimating moduleCannot create proposals, bids, or estimates inside BuildertrendAdvanced ($799/mo)
Change ordersCannot track changes to scope or cost inside the platformAdvanced ($799/mo)
Takeoff toolsCannot measure plans digitally for quantity takeoffsAdvanced ($799/mo)
Bid requestsCannot send formal bid packages to subcontractorsAdvanced ($799/mo)
Purchase ordersCannot create or track POs for materials or subsAdvanced ($799/mo)
Client selections portalCannot let clients choose finishes and fixtures onlineComplete ($1,099/mo)
Warranty managementCannot track or manage warranty claims after project completionComplete ($1,099/mo)

Who Should Use the Essential Plan

Best fit for Essential:

  • + Residential remodeling firm with 3-8 staff
  • + Already uses a separate estimating tool (Xactimate, Houzz Pro, or custom spreadsheets) and is happy with it
  • + Primary pain points are scheduling visibility, subcontractor coordination, and client communication
  • + Managing 3-8 concurrent projects at different stages
  • + Revenue of $600K-$2M annually

Essential is probably NOT right if:

  • - You want estimating integrated with project management (you need Advanced)
  • - You're a solo GC or 1-2 person crew (price is hard to justify - see small contractor guide)
  • - You do custom home building with client selections processes (you need Complete)
  • - You're a service contractor (plumber, HVAC, electrician) - Jobber is a better fit at a fraction of the price

Essential vs Free Tools: What Do You Actually Gain?

A fair comparison for small contractors questioning whether $499/mo is worth it over the free tools they currently use:

NeedFree ToolsBuildertrend Essential
Project schedulingGoogle Calendar or spreadsheetGantt chart with dependencies, drag-and-drop, sub visibility
Client communicationEmail, text, phoneCentralised portal, complete record, client login
Photo documentationiPhone camera + DropboxOrganised by project/date, timestamped, searchable
Sub coordinationPhone, text, emailSub Center portal, shared schedules, bid requests
Document storageDropbox/Google DriveOrganised by project, permission-controlled access
Budget trackingSpreadsheetJob-level budget tracking, QuickBooks sync
Cost$0-$20/mo$499/mo (monthly) or $339/mo (annual)

The honest verdict: if you're managing 3+ projects simultaneously with a team, Buildertrend's integration of all these tools in one place - with everyone on the same system - provides real operational value that free tools can't match. If you're running 1-2 projects at a time, free tools may be sufficient.

When to Upgrade from Essential to Advanced

These are the clear signals that you've outgrown the Essential plan:

  • You're spending time re-entering data between your estimating tool and Buildertrend
  • Change orders are managed outside the system and causing disputes
  • You want to formally track what you bid vs what you won (bid management)
  • You need to create purchase orders and track material costs against estimates
  • You're managing 10+ concurrent projects and need better financial visibility
  • Your team is growing past 10 people and project cost tracking is getting messy

Essential Plan FAQ

What is the Buildertrend Essential plan best for?
The Essential plan is best for residential remodelers and small general contractors with 3-8 staff who already have a separate estimating tool (such as Xactimate, Houzz Pro, or a spreadsheet system they're happy with). If your main pain points are project communication, scheduling visibility, and photo documentation rather than estimating, Essential provides strong value at the lowest Buildertrend price point.
Why doesn't Essential include estimating?
Buildertrend gates estimating to the Advanced tier ($799/mo) as a deliberate pricing strategy. The estimating module - which includes proposals, change orders, cost codes, and bid requests - represents significant additional platform value. If estimating inside the platform is important to your workflow, you need to budget for the Advanced tier from the start rather than hoping to start with Essential and get estimating functionality.
Can I upgrade from Essential to Advanced later?
Yes. You can upgrade your Buildertrend plan at any time by contacting your account manager. The upgrade typically takes effect immediately and you're billed pro-rated for the remainder of the billing period. Your existing project data, documents, and settings carry over. Many contractors start with Essential to learn the platform and upgrade once they're ready to use the estimating features.
Is Essential worth it for a solo general contractor?
For most solo GCs (one person running the business), $499/month is difficult to justify. At that price point, you need to save roughly 171 hours of admin time per year at a $35/hr rate just to break even. Solo operators typically find that the scheduling and communication features are useful but not dramatically better than free or low-cost tools like Google Calendar, WhatsApp, and Dropbox. See our small contractor guide for alternatives that may be a better fit.
